Symantec is one of the world’s largest technology businesses, known mainly for its security software. In 2011, the EMEA internal sales organisation were developing ways for colleagues across the region to be able to share best practice and build closer working relationships. The problem was, they only had a short lead time, few internal resources and a very small budget with which to organise an inaugural three day conference for 80 delegates.
What did we do?
Inconnection took time to get to know the delegates’ profile – mainly young men and women, naturally techie, fans of contemporary style and hip venues.
Lisbon was the perfect choice of location; considerably less expensive than other major cities like London or Paris, with plenty of direct flights from across EMEA as well as amazing places to stay to satisfy our discerning delegates.
Inconnection made sure absolutely everything was covered: pre-event registration and communication, organising all the travel and hotels, finding the conference venue, producing the conference including all the AV and devising the breakout activities, greeting each and every delegate at the airport and hosting a welcome reception.
From experience, Inconnection also suggested smaller groups of 10-15 for evening meals and port tastings at different local restaurants – after all, it’s so much easier to get to know people in a more intimate setting than at a mass catering event for 80. We also carried this through to the seating plans for all workshops so that teams from different countries were thoroughly mixed throughout the event.
On the final evening, Inconnection arranged a Halloween themed dinner compered by a quiz show host, with every detail in place down to fantastic carved pumpkins on the tables – great talking points.
What were the results?
By suggesting Lisbon, Inconnection saved Symantec tens of thousands of euros. We secured a luxurious 5* hotel for just €60pppn, and by applying a bit of foresight we also negotiated for guests not to incur ‘stealth charges’ for wi-fi or late room checkouts, and for no extra charges should guest numbers change (as they inevitably do).
Feedback from Symantec during and after the conference was immensely positive; knowledge had been shared effectively between groups and solid relationships had been forged. One delegate was so inspired they received a top seller award three months later!
